Terms of Service

Last updated: October 12, 2026

1. Agreement

These Terms of Service ("Terms") are an agreement between Long Island Voices ("Long Island Voices," "we," "us") and the business that signs up for our service ("Client," "you"). By signing an order form, paying a fee, or using the service, you agree to these Terms. If you sign up on behalf of a company, you confirm you have authority to bind that company.

2. The Service

Long Island Voices provides an AI phone receptionist (the "Service") that can answer incoming calls, respond to common questions using information you provide, take messages, and book appointments on your connected calendar. The specific features, phone numbers, and scripts for your account are described in your order form or onboarding summary.

We may update or improve the Service over time. If a change materially reduces what you are paying for, we will give you notice and you may cancel under Section 4.

3. Fees and Payment

  • Monthly fee. The Service is billed at $300 per month. There is no setup fee. Your first payment is charged when you sign up, and then automatically to your payment method on file on the same day each month.
  • Failed payments. If a payment fails, we will notify you. If it is not resolved within 7 days, we may pause the Service until your account is current.
  • Price changes. We may change our prices with at least 30 days' written notice. New prices apply starting with your next billing cycle after the notice period.
  • Taxes. Fees do not include applicable sales or other taxes, which you are responsible for.

4. Cancellation and Termination

  • Cancelling. You may cancel at any time by emailing livoicesai@gmail.com at least 7 days before your next billing date. The Service will continue through the end of your paid billing period, and you will not be charged again.
  • No partial refunds. Monthly fees already paid are not refunded for partial months.
  • Our right to terminate. We may suspend or end the Service if you do not pay, break these Terms, or use the Service in a way that is illegal or harmful. Where reasonable, we will give you notice and a chance to fix the problem first.
  • Your phone number. If we provided a phone number for your account, we will help you transfer it to your own carrier within 30 days of cancellation.
  • Your data. After cancellation, you may request an export of your call logs and recordings within 30 days. After that, we may delete them.

5. How the AI Works and Its Limits

The Service uses artificial intelligence. AI can make mistakes. It may mishear a caller, misunderstand a request, give an incomplete or incorrect answer, or book an appointment at the wrong time.

  • You review the results. You are responsible for reviewing messages, call summaries, and bookings, and for confirming important details with your customers.
  • No binding quotes. The AI does not make binding price quotes, estimates, warranties, or promises on your behalf unless you specifically instruct us in writing to configure it that way. You are responsible for any information you tell us to have it share.
  • Not for emergencies. The Service is not an emergency service. It should not be relied on for urgent safety situations, and callers with emergencies should be directed to 911 or to you directly.
  • Accurate information. The AI only knows what you tell it. You are responsible for giving us accurate, current information about your business, services, hours, and service area, and for telling us when it changes.

6. Your Responsibilities

  • Call recording consent. Calls handled by the Service may be recorded and transcribed. If you want callers told at the start of each call that it may be recorded, we will set that up for you. You are responsible for making sure your use of call recording complies with the laws that apply to you and your callers, including states that require every party's consent.
  • Text messages. If the Service sends text messages (such as appointment confirmations) to your customers, you confirm you have the consent required by law, including the Telephone Consumer Protection Act, to contact them.
  • Your phone lines. You confirm you have the right to forward or route your business phone numbers to the Service.
  • Acceptable use. You will not use the Service for spam, robocalls, fraud, harassment, or any illegal purpose.

7. Your Data

  • You own your data. Call recordings, transcripts, messages, and customer information collected through the Service ("Client Data") belong to you.
  • How we use it. We use Client Data only to provide, maintain, and improve the Service for you, and as described in our Privacy Policy. We do not sell Client Data.
  • Service providers. We share Client Data with the service providers needed to run the Service (for example, voice, AI, telephony, and calendar providers), and only as needed for that purpose.
  • Retention. We keep Client Data for as long as your account is active and for 30 days after cancellation, unless you ask us to delete it sooner or the law requires otherwise.

8. Third-Party Services and Availability

The Service depends on third-party providers, including Vapi, OpenAI, Twilio, and calendar providers. We do not control these providers and are not responsible for their outages, errors, or changes. We work to keep the Service running, but we do not guarantee it will be available at all times or free of errors. The Service is provided "as is" and "as available," without warranties of any kind, to the fullest extent the law allows.

9. Limitation of Liability

To the fullest extent the law allows:

  • We are not liable for any indirect, incidental, or consequential damages, including lost profits, lost revenue, lost jobs or customers, or missed or mishandled calls or appointments.
  • Our total liability for any claim related to the Service is limited to the amount you paid us in the 3 months before the event that caused the claim.

10. Indemnification

You agree to defend and hold Long Island Voices harmless from claims brought by third parties (including your customers) that arise from your use of the Service, information you provided to us, your breach of these Terms, or your failure to follow applicable laws, including call recording and texting laws.

11. General Terms

  • Changes to these Terms. We may update these Terms. We will notify you by email at least 30 days before material changes take effect. Continuing to use the Service after that date means you accept the updated Terms.
  • Governing law. These Terms are governed by the laws of the State of New York. Any dispute will be handled in the state or federal courts located in Nassau County, New York.
  • Entire agreement. These Terms, together with your order form and our Privacy Policy, are the entire agreement between us. If your order form conflicts with these Terms, the order form controls.
  • Severability. If any part of these Terms is found unenforceable, the rest stays in effect.

12. Contact

Questions about these Terms can be sent to Long Island Voices at livoicesai@gmail.com or (516) 647-7833.
